Why Bulk ID Card Generation from Excel Matters
Most schools already maintain student records in Excel or Google Sheets. Manually copying this data into an ID card tool one student at a time is a productivity disaster — especially for vendors managing 10–50 schools, each with 200–1000 students.
ID Card Master's Excel bulk import lets you go from a spreadsheet to 500 print-ready ID cards in under 5 minutes. Here's exactly how it works.
What You Need Before You Start
- Your student data in an Excel (.xlsx) or CSV file — standard columns like Name, Class, Section, Roll No., Father's Name, Date of Birth
- Student photos — in a ZIP file, named to match your roll numbers or names (e.g.
101.jpg,Rahul_Kumar.jpg) - Your school logo (PNG recommended)
- A free ID Card Master vendor account
Step-by-Step: Bulk Import Student Data from Excel
-
Download the sample Excel template
In your dashboard, go to Schools → [Your School] → Students → Import. Download the sample Excel file to see the exact column format required. -
Fill in your student data
Paste your school's student records into the template columns. You can add custom columns beyond the defaults — these become custom fields on the ID card. -
Upload the Excel file
Click "Import from Excel," select your file, and ID Card Master will parse and preview all rows. Validation errors (missing names, bad formats) are highlighted so you can fix them before import. -
Upload student photos
Upload a ZIP of student photos. ID Card Master auto-matches photos to students by file name. Supported naming conventions:RollNo.jpg,AdmissionNo.jpg, orName.jpg. -
Pick an ID card template
Open Card Studio, choose from 50+ templates, customize with your school logo and colors, and apply to all students. -
Export print-ready PDFs
Click "Export All Cards" — choose single-card or multi-card-per-page layout, and download a high-resolution PDF ready to send to the printer.
Excel Column Tips for Error-Free Import
- Keep the header row exactly as in the sample template — do not rename columns
- Use text format for roll numbers (to prevent Excel from stripping leading zeros)
- Date of Birth should be in
DD/MM/YYYYformat - Remove blank rows at the end of the sheet before uploading
- Keep one sheet per school — don't mix multiple schools in one Excel file
Auto Photo Matching — How It Works
ID Card Master's photo matching engine scans your uploaded ZIP and matches photos to students using three strategies:
- Roll Number match — e.g. photo named
101.jpgmatches student with Roll No. 101 - Admission Number match — e.g.
ADM2024001.jpg - Name match — e.g.
Rahul_Kumar.jpgorRahulKumar.jpg(spaces and underscores treated equally)
Unmatched photos and students with no photo are flagged so you can manually assign them.
How Many Students Can You Import at Once?
ID Card Master handles imports of up to 2,000 students per batch. For larger schools, split the data into multiple imports by class or section. All records are combined in the student list automatically.
Frequently Asked Questions
Can I update student data after import?
Yes. Edit individual student records from the student list, or re-import an updated Excel file — duplicate detection prevents creating double entries for the same roll number.
Do I need internet during the import?
The web dashboard requires an internet connection for import. However, the Android app lets you collect student data and photos offline — sync to the cloud when connectivity is restored.
What file size limits apply?
Excel file: up to 10 MB. Photo ZIP: up to 200 MB per batch (suitable for ~500 photos at 400 KB each).
